Responsibilities:
- Providing administrative and secretarial support to the Chief Legal Officer and the legal team in Moscow
- In-charge of all corporate secretarial work (incl. calling a meetings; keeping minutes of the meetings, drafting of resolutions and minutes, logistics of the meetings)
- Facilitating and organizing logistical arrangements, including:
- Agenda management
- Scheduling appointments
- Coordinating meetings
- Documents management
- Travel bookings and accommodation arrangements (at best available rates in a cost saving perspective)
- Alignment of tasks and sound coordination with department members
- Support, manage and coordinate visa applications
- Acting as point of contact for the department members
- Preparing expense reports
- Assist in the preparation of reports and presentations, if and when required
- Undertake ad-hoc projects and perform other administrative tasks
- Research, drafting memoranda in relation to administrative and legal issues
- Business correspondence
Requirements:
- Full time availability, ready to work overtime
- Fluent English is a must (oral&written), good writing skills
- Experience of working as a legal secretary or a secretary in an international or multi-national context not less than 2 years
- Understanding of deadlines, punctuality and responsibility
- Professional, well-organized, multi-task oriented, stress resistant person
- Ability to work with limited direction in a highly demanding environment requiring tact, sound judgement and reactivity
- Confident user of Microsoft Office programs (e.g., Word, Excel, PowerPoint)
- Legal education and experience of working as a legal secretary will be an advantage
